# What is an AI Chief of Staff?

> The category, defined independently of any one vendor: what an AI Chief of Staff actually does, how it differs from a chatbot or a generic assistant, and where Apollo Space's own agents fit the definition.

## Definition

An **AI Chief of Staff** is an agent whose job is organizational coordination —
tracking what's in flight across a company, remembering what was decided and by whom,
following up on commitments before they're missed, and surfacing the one thing a leader
needs to know without being asked. It's defined by the **job**, not by a specific
product: continuity and follow-through at the organization level, not a single-purpose
tool.

That's a different job from a general-purpose chatbot, which answers when asked and
retains nothing about what it should proactively track between conversations. An AI
Chief of Staff's value shows up in what it **remembers and chases on its own**, not just
in how well it answers a question when prompted.

## What distinguishes it from a chatbot or a generic AI assistant

## Where the category sits relative to a personal AI assistant

An AI Chief of Staff coordinates the **organization's** work. A personal AI assistant —
sometimes called a digital twin — represents **one individual**, in their voice, across
whatever organizations they belong to. The two are complementary, not the same thing:
one runs the company's process, the other represents a person navigating it. Confusing
them is a common category error when evaluating vendors — ask explicitly which of the
two you're being sold.

compensation, contracts, payments, and anything requiring judgment a written policy
can't resolve.

## What a real AI Chief of Staff should not do

Regardless of vendor, the category has an honest boundary: it proposes and drafts on
anything with legal, financial, or interpersonal stakes, and a human decides. A vendor
claiming full autonomy on those actions is describing something outside the category as
it's actually deployed in production today.
